Your first meeting with us is the perfect opportunity to share your ideas and get excited about your project. During this initial consultation of our architectural process we will listen to your vision, discuss possibilities, and start shaping a design that feels uniquely yours.

We are happy to meet you at your property or site anywhere in Bath, Bristol, Bruton, Castle Cary, Frome, Wells, Somerset, Wiltshire, or across the wider South West. Seeing your site first-hand allows us to explore ideas with you, discuss requirements in detail, and share early design concepts shaped by more than 25 years of local experience. We Come to You

We visit your property in person to understand the site first-hand. Experiencing the space, light, views, and character of your home allows us to identify the true potential of your project and discuss ideas with you directly. Nothing replaces standing on-site together and exploring what’s possible.

This visit is key to understanding the unique qualities of the site and ensuring we recommend the right level of service and the most effective design process from the very start to meet your requirements.

We begin by gaining a deep understanding of your requirements, aspirations and the challenges with your property. This conversation establishes the foundations of a tailored project brief:

How you currently use your space and what is not working for you. What you would like to achieve with the project and why now is the right time. Your lifestyle needs, both now and for the future – perhaps a growing family, working from home, or planning for retirement. Any specific problems that need solving, such as awkward layouts or lack of space or views or natural light. Your initial thoughts on budget and timescale, and whether these are realistic for your aspirations. We find each project has a different requirement requiring a unique solution.

By listening closely and asking the right questions, we get to the real reasons behind your project—so we can create a design that truly supports the way you live.

Discussing Your Budget

We take you through our Services, explaining a Plan of Work, broken down into stages tailored for your project. We clarify what is involved at each stage of our Services, from Concept Design & Options, through a Developed Design & Planning Approval, followed by Technical Design & Building Regulation approval, and then finally Tender, Construction & Completion.

This explanation helps you understand the full journey ahead and make informed decisions about which services you need. To save costs you may not require every stage – we will advise honestly on what is appropriate for your budget and circumstances.

Outlining Fees and Services

We explain our fee structure and provide guidance on what to expect. We offer three service levels to suit different project types and client needs:

Basic Service

Suitable for straightforward, smaller domestic extensions where clients have a clear brief and understanding of the building process. This provides essential planning and Building Regulation drawings with an outline specification for the client to seek a builder to quote and manage the work and gain Building Regulation approval on site as work proceeds.

Standard Service

Our most popular option, providing comprehensive support and drawings from creative concept design through construction to successful completion. This covers a Detailed Design & Planning Application; Technical Design & Building Regulation Application; Consultant and Tender coordination; and Construction Administration with regular site inspections.

Enhanced Service

For clients who want would like our Additional Services options included, such as 3D visualisations; rendered images; Virtual Reality walkthroughs; detailed specifications for both external and internal finishes; enhanced cost advice, and CDM Health & Safety coordination, etc.
An hourly rate (ÂŁ80 per hour for advice and very small works), or fixed amounts (for a partial service and clear brief) or percentage costs (typically 8% to 12% of construction costs for a Full Service from design concept to completion).

A detailed letter outlining our recommended services specific to your project, with a clear explanation of what's included at each stage.

Outline Plan of Work

Our adapted version of the RIBA Plan of Work showing Services, Timelines and Fees for each stage from Stage 1 (First Meeting) through to Stage 5 (Tender, Construction and Completion). This gives you complete clarity on the entire process and the steps to be taken.

Terms and Conditions

Clear contractual terms based on RIBA standard agreements, explaining our respective responsibilities and how our professional relationship works.
These documents and information allow you time to consider our proposal in detail, discuss it, and decide whether to appoint us for the next stages of your project. There's no pressure – we want you to feel completely confident in your decision.

Service Level Options for First Meeting

Basic (Free)

An initial telephone call or online meeting, covering the essential aspects of your project and our services.

Suitable for clients with small projects who need clear guidance on the basics, such as design and planning permission.

Standard (1 Hour)

We meet you on site. Discuss your requirements as we walk round providing initial advice, identifying design and Planning constraints; and exploring initial design ideas and options. Outlining our services, experience and skills developed from previous projects.

Our most popular option for clients wanting a thorough first consultation on site.

Enhanced (2 Hours)

A standard site meeting extended allowing more time for in-depth discussion of your brief, aspirations, and requirements. More detailed advice, design concepts and options explored. Extensive review of our portfolio, relevant experience and skills. Comprehensive advice on Planning and Building Regulations; Construction and Technical matters; with budget guidance.

Ideal for complex sites, sustainable design or listed buildings. Clients with detailed briefs who want substantial advice and input.

Investment

The first meeting fee varies depending on the service level you require and is detailed in our fee proposal following initial contact. Importantly, this fee is credited against your Stage 1 fees should you proceed with appointing us, so you are not paying twice for our time. Basically, if appointed, the first meeting is FREE!

Unlike many practices that offer brief free consultations or charge without providing real value, we view this first meeting as an investment in building a relationship with you. We provide genuine design input and practical advice from the very start, not just a sales pitch.

Our experience with over 25 years of local projects means we can often identify planning constraints, design opportunities, realistic budgets, and potential challenges during this first visit. We know the local planning authorities, understand the particular issues in your area, and have good working relationships with Building Control officers and local specialists, consultants and builders.

We understand that commissioning an architect can feel daunting, especially if you've never done it before. Our first meeting is designed to put you at ease, demonstrate our professionalism and creativity, and give you confidence that we're the right choice for your project.

You'll meet the architect who will personally handle your project – not a junior member of staff or a different architect at each stage. This continuity and personal service is central to how we work.

After The First Meeting

After the first meeting and you decide to proceed after considering our proposal, we continue the first stage: prepare for drawings of the existing property; an analysis of the site and develop your brief into a clear project foundation ready for the design stages.

This groundwork is essential for the design stages that follow and typically takes 2-4 weeks depending on the service level and project complexity.
